How do you obtain your Transcript of Records?

Prerequisites:

  • To receive your ToR, you must register via MARVIN. You must register for ALL courses via the online portal before the start of the semester and for ALL associated examinations during the semester. The only exceptions are courses and examinations run by the Language Centre, as well as online language courses for MO:VE.
  • Important: Enrolment in the courses alone is not sufficient. If you enrol for a course in MARVIN but not for the corresponding examination, a ToR cannot be issued via the online portal.
  • If you are unable to register via MARVIN, please check with your departmental representative to confirm whether registration via the online portal is indeed not possible for the course or exam in question.

 

Steps to follow

  1. Before the start of the semester: Register for your courses in MARVIN.
  2. During the semester: Register for your examinations in MARVIN.
  3. Complete your coursework (e.g. examinations, presentations, laboratory work, assignments, etc.).
  4. Your lecturer will enter your mark into MARVIN. You can then download your transcript yourself from the ‘My Studies’ → ‘My Achievements’ section. You can find a video on this on ILIAS in the Marvin Anleitungen group.

 

Important Information:

  • The Transcript of Records is available in two versions: in German and in English
  • The Transcript of Records contains a table showing the grading system, which your home university needs to recognise your academic achievements.
  • The Transcript of Records contains a verification code which your home university can use to check the authenticity of the document online. The code is valid for six months after you download the Transcript of Records. Video on ILIAS in the Marvin Anleitungen group.
  • The Transcript of Records does not include language courses from the Language Centre or the MO:VE online German as a Foreign Language (DaF) courses. You will receive separate certificates for these.
  • Courses that you have failed cannot be removed from the Transcript of Records.

Certificates from the University’s Language Centre or online language courses for MO:VE

  • Courses offered by the Language Centre and the online German as a Foreign Language (DaF) courses for MO:VE students are not listed in MARVIN. It is therefore not possible to register for courses and examinations via the online portal, and these achievements do not appear in the ToR via MARVIN.
  • You will receive a separate certificate for each course you have completed (e.g. one per course).
  • The certificates are bilingual (German/English).
  • You will receive the certificates directly from the Language Centre or – if you are a MO:VE student – from the International Office.
  • The certificates include a table setting out the grading system required by your home university for the recognition of your academic achievements.

 

Sending documents to your home university

This is your responsibility! Please send the following documents to your home university in a single email:

The Transcript of Records from MARVIN + a certificate from the Language Centre or proof of DaF online courses for MO:VE students.

Important!

  • Send the email to the correct email address at your home university. You should therefore check with your home university in advance to find out who should receive the Transcript of Records and who is responsible there for recognising your academic achievements.
  • The ToR is continuously updated in MARVIN as soon as new marks are entered. Do not send it until all your modules and marks are complete. Never send a provisional ToR, as this may cause problems with recognition.
  • If you no longer have access to MARVIN, you will no longer be able to download your Transcript of Records yourself. Please read the following section: ‘No longer have access to MARVIN?’

 

Special cases regarding the receipt and dispatch of the Transcript of Records

No longer have access to MARVIN?

If you no longer have access to MARVIN, you will no longer be able to download your Transcript of Records yourself. In this case, the Examinations Office can download the document for you and send it to you by email.

Please contact your faculty’s Examinations Office in Marburg and ask for the form ‘Application for Direct Transfer of Transcript of Records for Exchange Students’. The form will then be sent to you by email. Please complete it and return it to your Examinations Office.

If your home university requires institutional dispatch

The International Office has informed all partner universities via a circular that exchange students should forward their Transcript of Records directly to their home university themselves. However, if your home university expressly requires that the Transcript of Records be sent exclusively via an institutional email address, please contact your faculty’s Examinations Office in Marburg and ask for the form ‘Application for Direct Transfer of Transcript of Records for Exchange Students’. The form will then be sent to you by email. Please complete it and return it to your Examinations Office.

Postal dispatch of the Transcript of Records

The Transcript of Records is a digital document and is normally accepted without any problems by your home university. In very rare cases, a hard copy sent by post may be required. Postal dispatch is only possible in exceptional circumstances. The document can only be sent to a university or other institution; it must never be sent to a private address (e.g. the student’s address). If your home university requires the document to be sent by post, please contact your faculty’s Examinations Office in Marburg and ask for the form ‘Application for Direct Transfer of Transcript of Records for Exchange Students’. The form will then be sent to you by email. Please complete it and return it to your Examinations Office.
